The Royal Aeronautical Society (“the Society”, “we”, “us” or “our”) is committed to ensuring the privacy and security of the personal data of its members, customers and potential members. The personal data we collect, hold and process is subject to the terms of this policy and we use your personal data on the basis of this and subject to the consent given at the time, including the use of cookies.

Personal Information We Collect

Personal information is information about yourself that you provide to us in order to enjoy our services. It may therefore include details such as:

- Your name, contact details, date of birth and address (including email address)
- Membership number, qualifications, your occupation and/or your employer
- Your preferences for the different types of communications you receive

Most of the information is optional. If you provide this information, it will enhance your use of the website and our services. If the information is not mandatory, it will be clearly marked.

Why do we collect this information?

In order to provide the services requested, the Association will collect your personal information in order to provide those services. Generally, we will use your personal information to:

- Evaluate membership level. In order to apply for membership and access member services; you need to register with the association and therefore provide details such as name, date of birth, email address, position, company, education, work experience, etc.

- To provide services to our corporate partners. We will collect key contact point details including name, date of birth, email address, job title etc.

- To provide services to our members, we will communicate with you about beneficial and essential member services, enabling you to network with other professionals, attend conferences and events at discounted rates, and access a host of other resources. The Association uses integrated systems and therefore, we will use your personal data to communicate with you, keeping you up to date with what is happening at the Association, either by direct mail or email. However, if you wish to limit your communications, you can do so at any time through your preferences via your membership login details.

- To fulfill your (as a non-member) request for information from the Association, including attendance at meetings/events, subscription to Association publications, purchase of branded souvenirs, providing business cards (at various events/conferences) to learn about the Association's activities - We will collect your personal data in response to this request. You will be able to create a login profile and update your preferences here.

Use of Your Personal Information

The use of personal data will be notified at the time of collection and extends to the scope covered by this policy. Your personal data is held in secure systems and staff with access rights are contractually obliged to keep this information confidential.

The Association uses cookies on our website to collect information about visiting areas, frequency and preferences - this information will help the Association provide you with a high quality service and understand your specific needs and interests.

We always require an email address when interacting with the Association, either to confirm services requested or for administrative purposes. Once we have your email address on record, we will provide you with the opportunity to opt-in to receive additional Association news/benefits. If you choose not to opt-in, we will communicate with you only on the basis of servicing your request.

As a member of the Association, your personal data will be used to send you information that you subscribe to as a member, such as a regular monthly magazine, newsletters, local/regional event updates (sent via branches) and events. As a member of the Association, we will use your personal data for administrative purposes, including notifying you of any changes to the Association, voting notifications and reminder purposes (where applicable) and membership renewal reminders. Other examples of where the Association will process your personal data:

- Assessing Membership Level: Based on your application for membership, we will process your personal data (e.g. work experience, education, names of supporters as required by the Engineering Council) to determine the appropriate membership level. As the awarding body providing professional registration, the Society is obliged to provide the Engineering Council with a list of applicants and supporting information to verify the Society’s assessment. This is done through the Engineering Council’s Regplus online portal.

- Prospective members, students and customers: The Association collects personal data based on inquiries received regarding membership, student registration, outreach services, events - This information will be used to respond to specific inquiries and send you periodic updates on the Association's latest offerings. We also use this information to better understand potential member requirements to enable the Association to provide relevant and up-to-date benefits.

- Financial Information: If payment for membership fees or any other transaction is made by direct debit, the Association will collect bank account details in order to process the transaction. For credit card payments, the Association does not retain any credit card information as all payments are made directly through third party providers (banks); any hard copies of credit card information received by the Association are processed and immediately and securely destroyed.

- Diversity and Inclusion: The Association will collect sensitive personal data (gender, race, religion, disability, only if you choose to provide this information) which will be used to inform the Association’s Diversity and Inclusion policy to ensure we fully meet the needs of our members and other stakeholders. With permission, this data may also be used for internal or external reporting purposes. All reports will remain anonymous.

- Surveys: We may invite you to participate in various surveys online. Your responses will be anonymous unless you advise otherwise. Responses collected through surveys will be evaluated and reported on an aggregate basis. This will be published online and will be used to inform the Association’s marketing, policies and service offerings.

- Employment Requests: The Association will receive requests from employers, employment agencies or other third-party contacts to confirm your membership level and/or professional registration with the Association. This information will only be provided if you submit a signed consent form with the request. - Corporate Partners (CP): In order to provide a high level of service to our Corporate Partners, we will communicate with you about various services, such as upcoming CP briefings, conferences and other important events within the Association. Disclosure of Information

As a professional membership organization, the Association may in certain circumstances share your personal information with third party vendors (e.g. agents, professional advisors, committee members/volunteers, contractors) in order to administer our services. Examples include (but are not limited to): committee members assessing membership applications for rating, dealing with any disciplinary issues, communicating with branches to inform them of guests attending local events, mailing distribution of Association publications, recognizing individual achievements under the Association’s prestigious honours, medals and awards program; and publishing a directory of corporate partners and key contacts.

Promotions and Marketing

We may sometimes use video, photos or other media at association-sponsored events, which we will notify you of in advance before the event takes place. The association will use these images/videos or other media to share content/output across the global network of aviation associations, including various marketing materials, including brochures, websites, social media. We may not always be able to obtain consent for such use, so in this case we will ask for your consent by attending the event. If you wish to be specifically excluded, you should contact the relevant event organiser before the event.

Sharing/selling data to third parties: We will never sell or give your data to third parties without your permission.

Safety

The Association takes the security and data privacy of all stakeholders very seriously. We take the necessary steps (within our control) to ensure the protection of your information, both online and offline. You should keep your login details and passwords confidential as it is your responsibility to maintain the confidentiality of this information.

The Association's website has links to external websites or other microsites (i.e. operated by the Association but with a different domain name) that have their own privacy policies. Please inform yourself of other privacy policies after leaving the Association's website.

Data Retention

The Society will retain your personal data only for as long as necessary for the stated purpose, taking into account our need to answer inquiries or resolve issues, provide improved and new services, and comply with legal requirements under applicable law.
